What is a CRM? Why use an enterprise-wide CRM across UT Dallas?
Constituent Relationship Management (CRM) is a comprehensive system designed to manage all interactions with current and prospective stakeholders. The primary objective is to enhance relationships and drive institutional growth. Implementing CRM technology at the University helps maintain strong connections with prospects, students, alumni, and other key stakeholders, streamlining administrative processes, and improving overall effectiveness.
The CRM also provides a 360-degree view of the university experience, effectively tracking student interactions across admissions and enrollment, student success, alumni and development, and marketing communications.
How was Salesforce selected?
Guided by the Phase 0 CRM Selection Steering Committee with the assistance of consultants Kennedy & Company, UT Dallas selected Attain Partners to help implement a Salesforce CRM, which will best address the needs of the University.
Who are Attain Partners, and how are they involved?
Attain Partners, a certified Salesforce Higher Education Partner and the 2022 Salesforce Education Consulting Partner of the Year, brings nearly two decades of experience in leading hundreds of successful Salesforce implementations for higher education institutions. As an early contributor to the Salesforce Higher Education Data Architecture (HEDA) and an expert in Education Cloud, Attain Partners is well-equipped to handle complex CRM projects. Attain Partners' team, which includes former higher education professionals, excels in comprehensive Salesforce knowledge, data migration and integration, change management, and user adoption.
How long will the implementation take?
Attain Partners estimates completing this Phase 2 in 57 weeks following the schedule represented below.
As part of Phase 2, Attain Partners will start implementing undergraduate and graduate admissions in parallel. The connected tasks would allow undergraduate admissions to go live sooner, with graduate admissions coming online approximately four weeks later.
In addition, UT Dallas Student Success professionals will have the opportunity to participate in further discovery sessions early in 2025. Specific user stories and requirements will be developed and refined prior to build.
The Marketing Cloud Phases are aligned with the Recruiting & Admissions and Student Success phases respectively.

What systems will be impacted or eliminated by the CRM?
There are more than 100 different recruitment, communication, admissions, and student success technology solutions that are used across campus. The goal of Project Europa is to consolidate and integrate many of these into Salesforce Education Cloud and Marketing Cloud. The CRM will bring together data from across multiple systems, including Peoplesoft, to provide a 360-degree view of student throughout their enrollment lifecycle. There are a lot of acronyms flying around. How is the CRM different from the LMS and the ERP?
These systems are all complimentary pieces of the technology ecosystem that supports our students, faculty, and staff, each with unique roles to fill. The LMS (Learning Management System) is the “online classroom” where students and faculty teach and learn outside the traditional classroom setting. The ERP (Enterprise Resource Planning) serves as the core “work engine" and system of record for most core transactions such as enrollment in classes, financial aid and billing, grading and transcripts. Finally, the CRM (Constituent Relationship Management) provides tools to engage applicants, students, and alumni at various stages of their journey at UTD such as communications and relationship management. The CRM will provide unique insights into the needs and interactions of student by pulling in data from these other systems and sharing outcomes of those interactions. Together the LMS, ERP, and CRM provide a complete picture of how UTD supports its students so we can continuously improve their experience.
Will there be training for faculty and staff impacted by this new system?
Yes, faculty and staff will receive training beginning in spring 2025. More information about training opportunities will be available at the end of the fall 2024 semester.
Who is involved in the planning and implementation?
Project Europa is being led by a Core Team co-led by Dr. Serenity Rose King, Dr. Wray Weldon, and Dr. Dawn Owens. KatyBelle Edwards is the project manager and Dr. Raul Hinojosa Jr. is the change manager for Project Europa. There are also teams of faculty and staff from across the university that are supporting the implementation of Salesforce Education Cloud and Marketing Cloud at UT Dallas.
Can someone present to my team or department/unit about Project Europa and the CRM implementation?
Please submit a request using our Project Europa Information Request Form for a presentation and we will be happy to provide updates and information to on-campus units and groups based on the availability of one of our team members.
Are students involved in the implementation?
Student Government and graduate Student Assembly leaders have been briefed about Project Europa and will partner with the Project Team on user acceptance testing and will be engaged to provide feedback on the new student portal.
